The driver visits the VAU0 carrier portal and fills out the online application. The form is FMCSA Part 391 compliant and collects personal information, CDL details, employment history for the past 3 years, accident history, traffic violations, and driving experience. The application is designed to be completed on a phone in about 15 minutes. No account creation required upfront — just name, email, and the application fields. The driver can save progress and return later if needed.

Application Appears in Recruiter Center with Completeness Score
The moment the driver submits, the application appears in the recruiter’s dashboard with a completeness score showing what percentage of required fields are filled in. Applications with missing information are flagged. The recruiter can see at a glance which applicants are ready for review and which need follow-up for missing data. Applications are sorted by submission date with the most recent at the top.

Recruiter Reviews and Messages Driver Directly
The recruiter opens the application, reviews all submitted information, and can message the driver directly through the portal. Messages appear as notifications on the driver’s phone and in their portal inbox. No need to switch to email or a separate messaging app. All communication is logged and attached to the applicant’s record. The recruiter can also add internal notes visible only to the recruiting team.

Document Collection Request Sent
With one click, the recruiter sends a document collection request to the driver. The driver receives a notification listing every document needed: CDL photo (front and back), medical certificate, previous employer contact information, and any additional documents the carrier requires. The driver uploads each document from their phone camera or photo library. Each upload is verified for image quality and readability before acceptance.

E-Sign Package Sent — Application, Consent Forms, Agreements
The recruiter sends the e-sign package containing all documents requiring a signature: the formal employment application, drug test consent form, FMCSA Clearinghouse consent, MVR authorization, background check consent, company policy acknowledgment, and the driver agreement or independent contractor agreement. The driver signs everything digitally from their phone with GPS verification and timestamp on each signature.

DQ File 100% Complete — Recruiter Marks Approved
As documents are uploaded and forms are signed, the driver qualification file completeness percentage updates in real time. When all required documents are collected and all required signatures are obtained, the DQ file reaches 100%. The recruiter reviews the complete file, verifies everything is in order, and marks the driver as approved. The approval is logged with the recruiter’s name and timestamp.

Driver Account Activated — First Load Assigned
Once approved, the driver’s account is activated in the system. They gain access to the driver portal where they can see available loads, communicate with dispatch, submit paperwork, and manage their profile. The dispatcher is notified that a new driver is available, and the first load can be assigned immediately. The entire process from application submission to first load assignment can be completed in 48 hours or less.

CDL Verification
The driver uploads a photo of the front and back of their commercial driver’s license. VAU0 records the license class (A, B, or C), endorsements (hazmat, tanker, doubles/triples, passenger), restrictions, state of issuance, and expiration date. The system generates automatic alerts at 90, 60, and 30 days before expiration so renewal is never missed. The recruiter verifies the information matches the application.

Medical Certificate
DOT physical medical examiner’s certificate uploaded directly from the driver’s phone. The expiration date is recorded and tracked. Standard DOT physicals are valid for up to 24 months, but drivers with certain conditions may receive shorter certifications. VAU0 tracks whatever expiration date is on the certificate and sends a 60-day alert to both the driver and the recruiter when renewal is approaching.

FMCSA requires a 3-year employment history for all CMV driver applicants. The digital form collects employer name, address, dates of employment, position held, and reason for leaving for each previous employer. Gaps longer than 30 days require an explanation. Previous employer contact information is collected for verification. The recruiter can track which previous employers have been contacted and which verifications are still outstanding.

FMCSA Drug & Alcohol Clearinghouse consent is collected via e-signature. This authorizes the carrier to query the Clearinghouse for any drug or alcohol violations associated with the driver. Pre-employment testing status is tracked — whether the test has been scheduled, completed, and whether results have been received. Random testing pool enrollment is managed. All results are logged in the driver’s file with date and outcome.

Motor Vehicle Record release authorization signed digitally by the driver. This permits the carrier to obtain the driver’s driving record from the state DMV. Some states have specific authorization forms which can be loaded as templates. The MVR authorization is required at hire and annually thereafter.
